Black Sheep Media Limited (“we”, “us”, or “our”) operates Notetaker AI (the “App”). This Privacy Policy explains how we collect, use, and protect your information when you use our App.

1. Information We Collect

Account Information: When you create an account, we collect your name, email address, and password (stored as a secure hash). If you sign in with Google, we receive your name, email, and profile picture from Google.

Audio Recordings: When you record audio using the App, your recordings are temporarily uploaded to our secure servers for transcription processing. Audio files are automatically deleted after transcription is complete.

Transcription Data: The text generated from your recordings is stored locally on your device. We do not retain copies of your transcribed notes on our servers.

Payment Information: If you subscribe to Notetaker AI, payment processing is handled entirely by Stripe, Inc. We do not store your credit card number or bank details. We only receive your Stripe customer ID and subscription status.

Usage Data: We collect basic usage data such as the number of recordings created, to enforce free tier limits. We do not track your app activity for advertising purposes.

2. How We Use Your Information

We use the information we collect to:

• Provide and maintain the App’s functionality
• Process your audio recordings into text transcriptions
• Authenticate your account and manage your subscription
• Send verification emails and password reset codes
• Enforce free tier usage limits
• Improve the App’s performance and user experience

3. Third-Party Services

We use the following third-party services to operate the App:

• AssemblyAI — for audio transcription and speaker diarization. Audio is sent securely to their servers for processing. See AssemblyAI’s Privacy Policy.
• Stripe — for payment processing. See Stripe’s Privacy Policy.
• Supabase — for secure database hosting. See Supabase’s Privacy Policy.
• Google OAuth — for optional Google sign-in. See Google’s Privacy Policy.
• Resend — for sending transactional emails (verification codes, password resets). See Resend’s Privacy Policy.

4. Data Storage and Security

Your account data is stored securely in our database hosted by Supabase. Passwords are hashed using industry-standard bcrypt encryption and are never stored in plain text. All data transmissions between the App and our servers are encrypted using HTTPS/TLS.

Your transcribed notes and recordings are stored locally on your device. We do not have access to your notes after transcription is complete.

5. Data Retention

Audio recordings are temporarily processed and are not retained after transcription. Your account information is retained for as long as you maintain an active account. If you delete your account, we will remove your personal data from our servers within 30 days.

6. Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and associated data
• Export your notes from the App at any time
• Cancel your subscription at any time through the Stripe billing portal

7. Children’s Privacy

The App is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we discover that a child under 13 has provided us with personal information, we will delete it promptly.

8. Advertising

We do not display advertisements in the App. We do not sell, rent, or share your personal information with advertisers or third parties for marketing purposes.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the updated policy within the App or via email. Your continued use of the App after changes are posted constitutes acceptance of the updated policy.
